1. Introduction

AgentXL is the real estate focused implementation of XLsuite, which aims to present and automatically update real estate listings from the real estate board.

AgentXL evolved out of the real estate websites that we developed for Rick Stonehouse and other realtors. After several years of developing solutions for individual real estate agents, we have developed our own set of tools, best practices and marketing advantages.

Its functionalities will be expanded over time while growing the value of your investment in less than six months. We add new features to your AgentXL setup on a monthly basis, so this manual will be renewed each time when that happens.

Your platform consists of two sides: frontend and backend.

The frontend is the side your visitors see and use. The backend can be accessed using your login credentials at the address http://yoursite.com/admin, and it is mainly used for setting up the frontend.

The first page you see when you go into the backend contains the Landing Page tab and the left collapsible sidebar.

In this manual your main focus will be on the Landing Page tab and its content. Notice the three items in the menu: Start, Design, and Content. In the lower left sidebar you can see the submenu options of each of those items. They change as you click the main options to switch focus.

In the top right corner of the Dashboard you will notice the current version of software for your suite: 3.1 and a Preview link. Click on the version number to find out which are the new additions and bugs solved in this version and the preview link to see the changes you have done to the frontend: it will open a new tab/window (depends on your browser) and load the first page of your website, located at http://yoursite.com.

2. Things you can do

Some of the unique features that our application provides include:

Social Listings (ratings and comments on every listing)
Embeddable Listing Manager (Place your listings on other sites)
Affiliate tracking for awarding finders fees
Single Listing Domains (launch a site for a clients property with a few clicks)
Highly Search Engine Optimized

Plus the normally expected features such as auto responders, drip campaigns, google map integration, client management tools, blogging and full access to the content management system.

3. Your Dashboard

You will administrate, organize, change and upgrade all the information displayed on your site from the Dashboard that is located in the Backend side of the platform. Learn to use these functions as you read and carefully apply all the following instructions of the manual.

4. Start

4.1. How to add a new post

1. From the “Start” menu choose “New post”;

2. Type the post title in the “Title” area;

3. Type the new post in the area below “Title” area.

Tip: if you prefer to use Microsoft Word, Open Office Writer or Wordpad to order your ideas, you should know that a text pasted directly from one of those programs might contain some formatting errors.

There is an easy way to "clean" the word files of their code:

Open NOTEPAD on your PC and paste your text in there first.

Then copy the text out of your text editor and paste it into the Body area of your blog post

All the formating code from the word processor will have been removed, avoiding conflicting styling between your sites CSS code and the code in the individual blog post.

A second option is to use the `Source`edit button to paste in your text with the code.

You will want to remove any styling code outside of standard 'h1` & `p` tags

4.1.1. How to format text using WYSIWYG editor

1. Select the part of the text you wish to format

2. Select the action you wish to do

4.1.2. How to insert an image, an mp3 or a video in your post

From a website:

1. Click on Embed

2. Choose “URL”

3. Paste the URL you want and click “OK”

From your computer:

1. Click on “Embed”

2. Choose “File Manager”

3. Click “Upload”

4. Choose “File” in the “Upload from” field

5. Click on “Browse” in the “Upload” field, choose the file you wish to upload and click on the “Upload” button; when the upload is completed, click “OK”

6. You can write a title and a description for your photo, but it is not necessary; also, you can optionally put tags.

Tips:

You can resize an image just by playing with its margins;

The files you choose to upload must have less than 8 MB.

4.1.3. How to publish your post

After writing and formatting your text, just click the “Save” button below. If you wish not to publish your text immediately, you can choose to save it as a draft, by clicking “Save as Draft” button.

4.2. How to delete a blog post

1. Click on "Manage Blog Posts" from the "Quick Links" section;

2. Select your blog post, click "Actions" and choose "Delete"

4.3. How to change a blog post

1. Click on "Manage Blog Posts" from the "Quick Links" section;

2. Select the title of your blog post and insert the title you want.

4.4. How to edit a blog post

1. Click on "Manage Blog Posts" from the "Quick Links" section

2. Click on the icon near the title and start editing

4.5. How to add a new real estate listing

1. In the "Start" menu choose "New Listing";

2. Insert the information about the address and other details in the designated area and click "Create."

Tip: If you want to tag the listing or add extra information scroll down and click "Other" and "Create" after you finish

"Other" info includes TAGS which is what is typically used to display the listings on different pages.

For Example:

Creating 3 listings pages called "East", "West" and "Downtown" that render listings tagged "East", West...

Tagging the posts with one or several of the tags is all you need to do to make the listing appear on different pages, or even websites in your network.

4.6. How to report a bug

1. From the “Start” menu choose “Report a bug”;

2. Write a title and a text about the bug you wish to report in the designated areas;

3. You can also make a screenshot of the bug you have noticed and attach it to your report (optionally);

4. Click on “Kill the bug” to send us the report.

5. Design

5.1. How to choose a default design

1. From the “Design” menu click on “Choose a default design”;

2. Choose the design you like the most and click “Save.”

5.2. How to change the color of your theme

1. From the “Design menu” click on “Custom settings”;

2. Click on the little square near the item you wish to modify, pick your color from the color picker and click on “Set”.

5.3. How to add an image in your theme

1. Go to “Resources” in your Admin Panel and choose “Files”

2. Click on “New” and choose the image from your computer (you can add a title, a description and tags, but this is optionally) and click “Save”

3. Return to the landing page and choose “Custom settings” from the “Design” menu

4. Scroll down to “Images” and write your image title near the item you wish to modify (attention: you must use /z/image-name.jpg) and click “Set”

5.4. How to choose the font family of text in your website

1. Go to “Design” menu and click “Custom Settings”

2. Choose the style of writing and click “Save”

1. From the “Content” menu choose “Homepage”;

2. Decide whether your Custom Content appears on the Homepage;

3. Scroll down and choose what do you want to be displayed below the custom content and click “Save.”

2. Make sure you have previously agreed to display the “Custom content” field;

3. Write your text in the designated area and click “Save.”

* It's often easier to click the "code" box and edit the raw code to set the menu manually

2. Choose between “Top” or “Sidebar” and click “Save”

1. In the “Content” menu choose “Menu”

2. Write the titles you wish in the designated areas and click “Set”

Tip: If you do not need so many links in your menu, just delete one or more titles and click “Set.”

6.4. Sidebar

2. Choose the sidebar blocks you wish to have in your menu and click “Save”

* You can reorder the sidebar blocks by numbering them in the position grid.

1. In the “Content” menu, choose “Sidebar” and scroll down to “Sidebar promo images”;

2. Write your image title in the designated area and click “Set” (you need to upload the image by keeping the code “/z/”)

3. Type the URL in the designated area and click “Set”

1. In the “Content” menu, choose “Sidebar” and scroll down to “Sidebar position”;

2. Choose between left or right and click “Save”

Publishing an RSS feed (with Clickbank Feeds)

To render a feed, first you have to subscribe to it (COMMUNICATE/PUBLISHING/FEEDS)

Then you render the feed using our render feed syntax

Publish Google Docs to your Blog

XLsuite is fully integrated with IMAP.

This means that you can see all the emails related to a contacts record in your database.

By sharing your IMAP settings with other members of your team, you can see not only the emails that you had with the client, but ALL emails that the client had with ALL members of your team.

Valuable data for customer service and sales teams who rely on having an accurate history of the clients (or suppliers) relationship with your company.

SMTP integration
We've also integrated outbound emails into a "per account" level so that emails that your staff send are fully integrated into their company email account.

This also means that mass mail campaigns are tied directly to the sender, thereby ensuring that any abuse is localized to the sender, rather than affecting all of the users of XLsuite.

How To Set Up IMAP and SMTP in XLsuite:

Simply go to your personal account record by:

Navigating to ADMIN/MY INFO/MY CONTACT/

Choose the IMAP SETUP tab from along the bottom of the page

If you are using Google Apps you can simply enter your email and password for your account

(Make sure that "IMAP is enabled in your Google Account - under settings)

If you use another email account you can chose "OTHER" and enter the address of your IMAP server and the port # it is using (you can get this from your email administrator)

Setting up SMTP in XLsuite

This process is exactly the same as setting up IMAP, simply look for the second tab with SMTP setup in your personal record

Sharing with others:

Sharing your IMAP or SMTP settings with others allows them to use your information mainly so that they can see emails on a clients file that are related.
In other words, by sharing your IMAP settings a user will see the emails on a client file that you sent.
This does not mean that they have access to your full email account, it is only as it relates to the file they are looking at.

You can share with either a role, or a specific person.

If you've set up rolls like "Staff" "Sales" or other ... you can simply share with that role which may be the best method for doing it in an office environment
then new staff don't have to individually be set up with sharing.

Conversely you can also choose to share your IMAP with a specific user

You would simply go to the IMAP SHARING tab for that users contact record and click the SHARE IMAP botton on the top right

Your record will show you who else you've shared your IMAP settings with so you can manage them.

Changing the Author of a Testimonial

In order to change the author of the testimonial to someone else besides you (or the creator of the testimonial), when you are editting or creating a testimonial from the backend, remove all the text in the Author field, and then start typing the person's name. As you type, an autocomplete dropdown will appear, and you must select one of the contacts in the dropdown

If the dropdown doesn't have the person that you're looking for, most likely that means the person is not in your database, so you have to create a new contact for the person first, and then try the autocomplete field again.

Publishing A Download Link In Your Blog

Updating your XLsuite from the master suite

If you've installed a suite from our engine and there have been updates, new features or changes made to the suite, you'll want to update the suite from the master account.

IE: RE-Publish your XLsuite so that you have the latest features.

This is somewhat delicate especially if you've made a lot of changes to the CSS and at the actual PAGE LEVEL as it will overwrite the changes you've made at the page level. (database stuff like blog posts, products in your product catalog etc.. will not be affected).

Here is how you do this from in the ADMIN/XL Services/My Suite/Subscriptions menu.

You can use the "domain patterns" box to control which domain content is published on.

Examples: xlsuite.com responds to xlsuite.com as well as www.xlsuite.com. xlsuite.* responds to xlsuite.com, xlsuite.org and www.xlsuite.net. livein*.* responds to liveinstrathcona.com, liveinsurrey.org and www.liveinstathcona.com (note the missing r in the last instance). Finally, www.** responds to www.xlsuite.com as well as www.mydomain.xlsuite.com.

Creating an Order in XLsuite

This video covers how to create a new order for someone in XLsuite.

This would be how your staff would create an invoice that could be sent to the client.

The invoice can then be paid for online, similarly to how they would if they were to go through the shopping catalog on the front of the website.

But of course there are sometimes that you don't show all of your products on the front end of the site, or you simply want to create the order for them, rather than them creating it on the site and making a mistake or missing something. There are also times when you don't publish your rates online and this would be how you could create a quote for someone in those cases.

Posting to XLsuite blog using ScribeFire

I have to admit that I'm really happy that we implemented the metaweblogAPI in XLsuite.

I'm posting this from ScribeFire, the blogging extension that is a firefox plugin.

I'm going to play with some other applications to make a list of blogging platforms that work with XLsuite, but basically... anything that supports the MetaweblogAPI can post to XLsuite.

That is the post address that you simply plug into your blogging application, your user name and password is next... when you hit return it'll bring you back a list of the blogs that you've got set up on your domain.

It's a nice trick and gives you a lot more flexibility with how you can post to your XLsuite blog.

no clue why I put a fire truck here... just fiddling with the plugin that searches flickr from scribefire.

Adding Google Analytics to your XLsuite

Tracking of course is pretty important when you own a domain name. Since Google has done such a good job with analytics and it's free, we recommend it as a way to see who's been visiting your website.

It's pretty easy to install and set up the following video's give you a good overview of how to do it depending on the scenario you're in.

This first video shows you how to add it to a Suite that had the configuration on your dashboard. This is the case if you're running either the Livein template, the TribeXL template or one that has been built based on one of those (or has reused the dashboard elements... by the time you watch this there may be more suites using this configuration page as it's pretty slick).

This next one shows you how to install the "render analytics" snippet into your layout pages first, (this would be for a designer, or for someone using a suite that didn't have the analytics set up already in the layout.

Finally, this is how you set up domain specific analytics for multiple domains using the same layouts, but wanting to track different domains. In our case, we have both ViralListings.com and Virallisting.com rendering independently so we don't loose typo traffic.

What if I told you that you could SELL your suite (think template but more) onto an instant website publishing platform.

Any good SEO campaign needs to look at the page titles and URL structure pretty early on in the game.

Often, you don't do that as part of the structural setup and while we can argue when the best time to plan your URL structure is (before you do anything thank you) you often will want to review your page titles based on content and keyword positioning.

This is a little trick that helps me to move very quickly through the page titles on a website so that I can optimize them. I'll do this periodically to ensure freshness and to stay up to date with keywords that we're targeting.

Available Parameters

align: The control's alignment.  See the HTML documentation for details of the accepted values.  Defaults to middle.

bgcolor: The control's background color.  Defaults to #000000, and it set as a parameter on the OBJECT tag, and on EMBED.

Contact Request Feature and Enabling Spam Checker

Contact Forms on your website are created to function with XLsuite so you are able to collect contact details in your contact database. Not only will you then receive the email request, you will also have a new lead opportunity in your contact list.

You can then manage and track contact requests and communication you've had with them by using the system to reply to the contact requests.

If you start getting spam in your forms, you can turn on your spam checker. We use defensio to block spam, it learns what spam is and can block it for you. It's turned off by default so you don't loose emails, you need to train it so once you've turned it on, you have to check your spam folder routinely to make sure it's not blocking legitimate emails.

Giving new users access to your site

Depending on how you have your site set up, a user will either sign up themselves for an account (in which case they will already be in your database) or you'll have to add them to the database yourself.

If you then want to add permissions to their account (say for example for a staff member that you want to have access to edit a page, or create an invoice for you) you need to do that in the PERMISSIONS tab.

This video will outline how to do that from a new account point of view, the process is the same for an existing account except you would start by searching for the contact, rather than creating a new one.

A point of note: The "Manage Groups" function has since been moved to the "CONTACTS" menu (in the video it shows it in the ADMIN menu) Other than this the info here is all valid.

Posting images, video and photo's in XLsuite blog posts

Replacing the CMS Components

This is a dangerous thing to do if you've updated your website or changed any of the template pages. It will delete the existing pages and replace them with the new template you've chosen to download.

In other words, unless you're just fiddling around and trying things out, or you had some trouble with the installer when you signed up and need to manually update the template... you shouldn't be messing with this.

Pointing your A record from Godaddy or 1and1 to XLsuite

This is how you set up another domain in your XLsuite / AgentXL back end.

Point your A record to our servers at 75.101.152.170
Login and go to ADMIN/MY DOMAINS and set the new domain in your admin panel.

And here is how you point your a record to XLsuite if you're registered at 1&1 (the process is similar no matter where you've registered your domain, it's the A record only, not the DNS that you want to focus on).
